2.1 Data you provide to us (contact forms – HubSpot)

When you submit a form on our Site, we collect: first name, last name, email address, and your message.
Source: directly from you via forms powered by HubSpot.

We do not collect special category data (e.g., health or access requirements) via this Site.

2.2 Data we collect automatically (cookies & similar)

With your consent, we use Google Analytics 4 (GA4) to collect usage data such as pages viewed, links clicked, approximate location (city/region), device/browser, and identifiers like GA4 client IDs and truncated/anonymised IP information.

2.3 Data from third parties

We do not receive personal data about you from third parties for this Site, unless you separately consent to specific sharing (see section 5.2 – Sponsors/partners).

4. HubSpot forms & CRM

We use HubSpot to collect your form details and manage responses.

  • What we process: the form fields you submit (first name, last name, email, message) and technical metadata (submission time, page URL, form ID).
  • Marketing: we only add you to marketing lists if you clearly opt in.
  • Temporary backup storage (delivery resilience): to ensure email delivery to HubSpot/our inbox, we store a copy of form submissions on the website for 7 days as a backup. After 7 days, backups are automatically deleted. (Your primary record remains in HubSpot if delivery succeeded.)

5. Disclosures and recipients

5.1 Service providers (processors)

We share data with trusted service providers who help us run the Site and respond to you, including:

  • Website hosting & support: Agency of None
  • Forms & CRM: HubSpot
  • Analytics: Google (GA4)

All are bound by contracts with appropriate safeguards. We do not sell your personal data.

5.2 Sponsors/partners

We do not share your personal data with sponsors/partners for their own marketing without your explicit opt-in.

6. Cookies and similar technologies

We use a cookie banner to request your consent for non-essential cookies. You can change your choice at any time via the Manage Consent button.

7. Retention

We keep personal data only as long as necessary, then delete or anonymise it.

  • Form submission backups on the website: 90 days (see section 4).
  • HubSpot CRM enquiry records: [36 months] from last meaningful interaction.
  • Marketing contacts: until you unsubscribe; then we keep minimal data on a suppression list to honour your opt-out.
  • Analytics data (GA4): 14 months
  • System/security logs: 90 days

8. International transfers

Some providers (e.g., Google and HubSpot) may process data outside the UK/EEA (e.g., USA). Where this occurs, we rely on approved transfer safeguards such as the UK International Data Transfer Addendum (IDTA) and/or the UK Addendum to the EU Standard Contractual Clauses (SCCs), plus supplementary measures where appropriate. You can request details via section 1.

9. Your rights

10. Children

The Event may be open to families; however, this Site is not intended for children, and we do not collect personal data from children via the Site.

We implement appropriate technical and organisational measures (e.g., encryption in transit, access controls, least-privilege access, regular reviews). No system is completely secure; please take care when transmitting data online.
